Instructions: Move the mouse over a screen for a description, then click on each for a larger view. Also once you have opened a screen you may move sequentially through the screens by use of the right and left arrows which will appear on each side of the displayed screen.

The opening screen of PinTrackWare is a summary of all open compliance events. This includes any open compliance events and any drug units that are expired or within 5 days of the entered expiration date. Everytime the program is opened, you are asked if you would like to send email reminders to the responsible person. Answering yes will produce emails for each event that is within 5 days of deadline to the designated responsible person or group. You can also decline to send those emails and move straight to the summary. The program produces emails using the email program listed in your computer's registry.

This is the main screen through which you access all compliance data entry. The screen highlights include record filters, search engine for record numbers, and data entry points for compliance events, proposed resolutions and deadlines, and trending. The program also stores supporting attachments, such as photos, PDF files, etc.

The data entry tab on the QA screen is for recording event details, including building, room, and location. Governing polices, SOPs, regulations can be added.

The resolution tab permits entry of information about the details of the correction. The resolution screen includes tabs for more detail on the resolution, key words for the problem, and setting up the scheduler.

The resolution can be mandated by any designated person or group such as program director, IACUC, institutional official, etc. Deadlines are set. Who confirmed the fix. What went wrong with the missed deadline.

Keywords can be set up for every event. There is a search engine for these keywords.

The scheduler is a sophisticated program that can give you a bird-eye calendar view or time line view of upcoming deadlines.

Trending allows you to categorize compliance and inspection issues into specific categories for frequency analysis. The data from trending can be transferred directly to spreadsheets for analysis and graphing

Performance comments are set up for employee management. The program will keep track of counseling sessions related to specific events.

The program permits storage of any documents related to an event such as PDFs of room check sheets, photographs, etc. The program will accept any file format. In order to view the file, your computer must have a program that can read the file.

The key word search under the top bar QA menu provides access to a search engine on key words that have been used in the program.

Drug Inventory: (Click on each for a larger view)

This is the main functional screen for drug inventory management.

The details section provides for identification of the drug, source, and bottle information. The left column is a listing of all drugs in inventory by ID#. The record shown correlates to the arrow head marked row on the left column. The left hand column can be filtered for dispensed and non-dispensed drugs. The “closed out” tic box renders the drug record as ended (used up).

The expired drug alert is an important component of the software’s function. This person and group are notified when the drug is about to expire. The program generates an email to alert the named person in order to avoid an expired drug violation.

This screen shot depicts the drug dispensing section. It identifies the principal investigator, the receiver, and the building and room where the material will be stored. Protocol numbers and grant numbers can also be entered for IACUC reviews and charge vouchers.

PinTrackWare lets you dispense a drug unit multiple times. Whenever it is returned for re-dispensing, the add new “Return Information” button is ticked and you indicate who returned the dispensed unit and when, who received it, and the remaining volume. The drug is then back in inventory for re-dispensing. If the drug is used up, the close-out tick box in the main inventory form is checked. This “Closed Out” button formally ends the drug unit’s record.

Once drug details and dispensing information are entered, a dispensing prescription can be produced for the unit transferred to the investigator or his or her staff.

The program will produce a drug usage log report. This is where investigators enter dose by dose usage of the material.

A Dispensed Inventory Report is a list of all drugs dispensed out of the program. The report can be filtered for DEA controlled, non-controlled, or all dispensed drugs. The printed report can be sorted by investigator or location.

For drugs that are re-billable against the grant account, the program will produce a charge voucher based on the grant and protocol information you provide in the dispensing section of the form.

Scheduler: (Click on each for a larger view)

The scheduler has a built-in reminders window of upcoming QA or Drug deadlines. Schedule can be displayed in timeline mode, as shown in this view.

The schedule can also be set to display in month view, week view and work week view. This is the calendar in month view.

The reminders screen can be displayed with each of the calendar display modes.

Each schedule can be customized to display the activities of one or more individuals

This is the schedule displayed in work week view. If multiple persons are selected then the activity of each will be in a separate column.

Each schedule item can be edited, reminders set up, printed and emailed. In addition scheduled items can be set up as recurring events.
